Cataloging Collections

All of the collections in UChicagoNode should have entries in OCLC. Because of how Library cataloging is performed, the records will appear both in WorldCat and in the Library catalog. This will allow the discovery of collections in Node from other, larger utilities. The procedure is as follows. It should be initiated once the collection has been published in Node, and not before.

1. Madeline Alft requests Matt Yang to generate an ARK ID (e.g., b2xxxxxxxxxx) for a published collection using its name as established in Collection Names.
2. Madeline Alft gives that ARK ID (e.g., b2xxxxxxxxxx) and the collection name code (e.g.,modern-bengali-song[1]) to Charles Blair.
3. Charles Blair will then give Madeline Alft the persistent link to the Node landing page for that collection, e.g., https://ark.lib.uchicago.edu/ark:61001/b2xxxxxxxxxx, who will check that the persistent link works.
4. Madeline Alft will then request of Rene Martonik that the collection be cataloged, giving Rene the user-facing name of the collection (e.g., Modern Bengali Song[2]) and the persistent link (e.g., https://ark.lib.uchicago.edu/ark:61001/b2xxxxxxxxxx). The collection name will serve as the title of the collection. The persistent link will point to the landing page that will be used in cataloging the collection in OCLC. The landing page will serve as the target of the persistent link to the collection in the cataloging record.

Note: Only the highest-level collection will be cataloged, for example, The University of Chicago Campus Publications, not sub-collections such as University of Chicago Convocation Programs or Daily Maroon.

[1] This is to avoid having to infer the collection name code perhaps incorrectly from collection names such as Rose & Chess; the collection name code will be rose-and-chess.

[2] This is what will be searched in WorldCat and the Library catalog.

Existing digital collections will already have collection pages in OCLC and the Library catalog. These will need to have the links changed to point to the collections in Node. Steps 1-3 remain the same. Step 4 changes.

1. Madeline Alft will give Rene Martonik the URL of the existing catalog record for the collection and request that the 856 field be changed to reflect the new the persistent link (e.g., https://ark.lib.uchicago.edu/ark:61001/b2xxxxxxxxxx).
